Introducing the Guest Portal: One Link for the Entire Guest Experience

Managing a vacation rental means coordinating a lot of moving pieces: rental agreements, pre-arrival questionnaires, invoices, door codes, WiFi passwords, and everything in between. For most hosts, these touchpoints happen across a tangle of emails, PDFs, and text messages. Guests end up searching their inbox for the right link or asking you the same questions you answered three times already. The Guest Portal changes that.

Every booking in HostMoat now gets a unique portal link that brings together everything a guest needs in one place. Check-in details, their rental contract, the pre-arrival form, any outstanding invoices, and now a curated menu of add-ons they can request directly — all accessible from a single URL that goes out automatically with their booking confirmation. No account creation required. No app to download. Just a link that works on any device.

The Upsell Marketplace

Alongside the portal launch, we are introducing Upsells — a way to offer guests add-on services and experiences they can browse and request before their arrival. Early check-in, late checkout, welcome packages, grocery pre-stocking, local experience recommendations — whatever makes sense for your property and your guests. You create the catalog, set the price, and define when each item is available (for example, early check-in can only be requested if you have availability that morning). Guests browse the options in their portal and submit a request with one tap.

When a guest requests an add-on, you get an email notification and can approve or decline from the Upsells page. Approve it, and HostMoat automatically creates an invoice and sends it to the guest for payment. The whole flow — from guest request to paid invoice — happens without you having to manually draft anything. For guests who book direct or through platforms that do not support upsells natively, this fills a meaningful gap.

Customization and Control

The portal is designed to feel like your property, not a generic booking tool. You can set an accent color, upload your property logo, and write a custom welcome message that greets guests when they land on the page. You also control when sensitive information like door codes and WiFi passwords become visible — reveal them 3 days before arrival, or only after the guest has signed their contract and submitted the pre-arrival form. Task gating means guests cannot skip the steps that matter to you.

The Guest Portal is available to all Pro plan subscribers starting today. Set it up from the Upsells page under Portal Settings. For properties already using HostMoat contracts, pre-arrival forms, and invoices, the portal pulls them all in automatically — no migration needed.
